Request for Funds Policy

Overview

Requests for additional funding are submitted by the Department Chair or Program Director to the Office for Academic Planning (Suite 405 Candler, Attn: Diana Krause) for review. Departments and Programs will be notified in writing of the decision by the College’s Chief Financial Officer.

Ongoing Budget Support

(For example, additional staff, student workers, or operating expenses)
The request must be submitted using the Request for Extraordinary Funding Support form. The deadline for consideration for the next academic year is 31 March.

One-Time Funding Support Request

(One-time expenses for needs beyond the annual operating budget)
All requests for funds that are not included in the budget are considered extra-budgetary funds and MUST come from the department chair/program director.  The request must be submitted using the Request for Extraordinary Funding Support form.  Requests must specify the academic year(s) in which the funds are needed.  Submit the completed form to Office for Academic Planning (Suite 405 Candler, Attn: Diana Krause).   Requests will be reviewed twice each year, in October and February. Deadlines for consideration are October 1st and 1 February 1st or the next business day in the event these dates fall on a weekend.

Cost Share

Request for cost share funds to support a grant application must be submitted in writing to the Chief Financial Officer, 405 Candler Library.  These funds must be requested at least one week prior to the date the grant will need to be reviewed and signed.  If funding for the cost share is sought from the Dean of the College, the Extraordinary Funding Support Request process should also be followed.

Renovation Funding

All requests for renovations must be submitted in writing to Nancy Bayly, E301 Emerson Hall for approval. Do not contact Facilities Management or outside contractors for quotes before submitting your request to the College Office.

Approval Notification

The College’s Chief Financial Officer will approve all requests in writing.  A signed memorandum will be sent to the Department Chair or Program Director to confirm the approval.  Requestors should not rely on verbal or email correspondence to confirm financial commitments.
